REPORTS TO (Title):

Manager, Community Support Services

The Community Support Services department has an opening for a Full-Time Community Support Services Program Assistant. The successful candidate must be able to meet the normal requirements of the job and possess the following qualifications:

QUALIFICATIONS NECESSARY:

 

  • Completion of post-secondary education at the college level specializing in office administration preferred; or minimum three years of relevant office experience and training as determined by Riverside Health Care.
  • Demonstrated competency and dependability excelling in general office management procedures and work organization.
  • Demonstrated ability to maintain strict confidentiality.
  • Knowledge and/or experience with community-based health resources, experience working with the senior population is considered an asset.
  • Excellent telephone and interpersonal communication skills.
  • Advanced skills in computer word processing, with key boarding skills at 50 words per minute. Demonstrated abilities with Microsoft Excel, Word, and experience with Electronic Medical Records.
  • Physically capable of performing the essential duties of the job.
  • Minimum of three years’ experience in Accounts Receivable and Statistical Collection/Reporting is an asset.
  • Ability to perform varied tasks with minimal supervision.
  • Excellent decision-making, organization and scheduling skills and ability to deal with complex and ever-changing situations.
  • Demonstrated ability to function effectively in a fast-paced healthcare environment with excellent time management skills and the aptitude to multitask and prioritize workload.
  • Dependable with a verifiable acceptable attendance record.

 

BASIC RESPONSIBILITIES:

Responsible for the organization of the day-to-day office activities at Riverside Community Support Services (CSS) offices with an emphasis on payroll and billing. The position will be available for the share of an on-call schedule that is used to support staff after regular business hours. Periodic travel across the district to other Community Support Service locations is required.

  • Formats and maintains statistical and financial data for internal and Ministry reporting requirements.
  • Prepares and records payroll information for program staff and billing information for clients/staff.
  • Handles day-to-day office requirements for staff and client services.
  • Organizes and handles special projects and reports as assigned.
  • Under the guidance of the CSS Coordinator and Manager, assist with staff schedules and completion of payroll entries.
  • Assist Finance in ensuring statistical set-up, maintenance, and controls are present and in accordance with Ontario Health Home and Community Care Support Services Northwest.
  • Promote the following goals:
    • Maintain high quality services
    • Maintain good working relationship with Finance, Payroll and reporting Departments.
    • Ensure timely responses to requests for information or services.
    • Ensure deadlines and requirements are met for internal and external submission.
  • Prepares daily bank deposits for cash and credit card transactions.
  • Receipting of incoming cheques.
  • Other duties as may be designated from time to time by the Manager or designate.
